PTA JOB DESCRIPTIONS:

Co- Presidents

The co-presidents meet with the new PTA Executive board within 30 days after election. At this meeting, the 2nd year president will appoint the parliamentarian. This person also coordinates the work of the officers and committees in order that objectives and deadlines of the association are met; confirms that a quorum is present before conducting any business at any meeting of the association. Serve as a liaison between the PTA and the school; Appoints chairmen of special committees subject to approval of executive board; be authorized to sign on bank accounts (need to go to bank to complete this); Sign all contracts that have been approved by the executive board. Coordinates communications committee (newsletter, technology, Marquee and publicity); and is a member of all committees except the nominating and audit committees. This person attends the Dekalb Council Meetings (5 per year), and District 11 Meetings(2-3 per year). Provides an agenda for both the board and general meetings, reserves meeting space for the board and general meetings, has meetings with the principal and appointed PTA VP(s) on a regular basis. (These meetings are set up when the calendar is set up for the school year.)   Purchases supplies for the PTA Room, orders name tags for all new board members (chairs only, not assistants) and coordinates lunch at the end of the year for all PTA VP’s and the principal. The calendar for the following school year is planned at this time. This person should be available to attend most functions that the PTA coordinates. Must make sure that each position (Executive and chairs) has the Sagamore Hills Elementary Bylaws, Standing Rules and Fact Sheet and that each position is following these rules at all times. Treasurer

The treasurer shall have custody of all the funds of the association; keep books of account and records including bank statements, receipts, budgets, invoices, paid receipts, sales taxes and cancelled checks for five years; make disbursements in accordance with the budget adopted by the association; sign on bank accounts; present a financial report, both written and verbal, at every meeting of the unit and as requested by the executive board or the association; make a full report at the annual meetings; be responsible for the maintenance of such books of accounts and records; and submit books to the audit committee as required. Complete and file all necessary tax documents.   The PTA treasurer shall keep track of all financial forms, cash boxes and treasurer supplies. This position will offer reimbursement training to the board at the beginning of the school year. The treasurer is responsible to know and follow the rules and regulation stated by the GA PTA. Must attend Leadership training that is offered through the Dekalb Council and the GA PTA.

  • Attend monthly PTA Board Meetings (usually on a Tuesday night, from 6:15PM – 7:30PM).  Many people bring their kids and they can hang out in the teachers lounge (adjoining room to where board meetings are held) and do their homework, play on a device, read a book, etc.  

VP Communications

  • Open House (fall)
    • Collect family contact information through online directory (Membership Toolikit), ideally online before Open House, some through online form in computer lab during Open House. 
    • Update directory with all contacts collected at open house computer lab
    • Obtain class rosters and update directory by assigning contacts with their appropriate teachers
    • Update mailchimp (eblasts) with new contact info
    • Update grade-level groups (Google Groups email lists) with parent email addresses, as well as PTA board group and room parent group. 
  • populate online store and provide reports of sales throughout school year (MembershipToolkit)
  • eMail Newsletter (Sagamore weekly Announcements)
    • Compile the week’s goings-ons and send Sunday evenings, send special midweek blasts as needed
  • Yearbook –  
  • Maintain online and print calendars
  • Minor website updates
  • Assist PTA vps and chairs by sending grade level emails to families as needed to promote school events
  • Update Sagamore Hills Elementary Social Media – currently facebook but there is a twitter account if someone wanted to do both
  • Attend monthly PTA Board Meetings (usually on a Tuesday night, from 6:15PM – 7:30PM).  Many people bring their kids and they can hang out in the teachers lounge (adjoining room to where board meetings are held) and do their homework, play on a device, read a book, etc.  

VP Administration 

  • Organize volunteers for and ensure successful planning & execution of the following events: 
    • Open House – Winter (smaller event) & Summer (larger event)
    • New Parent Coffee
    • Teacher Appreciation Week – TAW is handled primarily by a parent volunteer each year
  • Key liaison/leader of Room Parent Coordinator (should be a unique role that reports to VP Admin).
    • Room parent coordinator has ideally been a room parent before but that is not required.
    • Room parent coordinator provides guidance for classroom dues that need to be collected.
    • Room parent coordinator ensures room parents are reminded of key events that need to be handled by room parents.
    • Room Parents own organization of Wonderful Wednesdays
  • Misc PTA Org admins duties
    • Enter PTA members into membership hub
    • Work with treasurer to get dues paid
  • Liaison with Spiritwear Coordinator (should be a unique role that reports to VP Admin
    • Spiritwear coordinator handles ordering of Be More tshirts, yard signs, & magnets.  Also ensure reorders of long standing STEM spiritwear items.
    • Ensure spiritwear coordinator remains on spiritwear budget
  • Liaison with Building & Grounds leader Chair
  • Attend monthly PTA Board Meetings (usually on a Tuesday night, from 6:15PM – 7:30PM).  Many people bring their kids and they can hang out in the teachers lounge (adjoining room to where board meetings are held) and do their homework, play on a device, read a book, etc.  
  • *The goal of this VP role is to lead/ensure coverage for these events, leveraging additional volunteers within the Sagamore community vs. doing it all yourself.  E.g. Often times you get one volunteer who’s passionate about leading one specific event, such as Book Fair, and you end up doing very little personally.  

VP Fundraising 

  • Organize volunteers for and ensure successful planning & execution of the following events: 
    • Spirit Nights at local area restaurants
    • Annual Fundraising Event (either trivia night or auction, swaps every other year) 
  • Attend monthly PTA Board Meetings (usually on a Tuesday night, from 6:15PM – 7:30PM).  Many people bring their kids and they can hang out in the teachers lounge (adjoining room to where board meetings are held) and do their homework, play on a device, read a book, etc.  
  • Ensure participation in Box Tops, Kroger Plus Cards, Publix Partners, etc
  • Fall Fundraiser-Community Discount Cards- communicate with businesses to secure their participation on the card.  This communication is done mostly via email. Once participants are arranged, send card out to be printed.  Encourage Sagamore Community to sell cards.
  • School Store

VP Wellness/Sustainability

  • Organize volunteers for and ensure successful planning & execution of the following events: 
    • Walk to School Wednesdays
    • Wellness Posters 
  • Help educate & evangelize wellness & sustainability topics to the Sagamore community (parents & students)
  • Attend monthly PTA Board Meetings (usually on a Tuesday night, from 6:15PM – 7:30PM).  Many people bring their kids and they can hang out in the teachers lounge (adjoining room to where board meetings are held) and do their homework, play on a device, read a book, etc.
